How to Plan Tableware Stock for October Events
Make one October event stock plan from menus, guest counts, current cartons and delivery dates.
Plan October tableware stock event by event, then combine the item totals. Start with each confirmed menu and guest count. Subtract clean, usable stock already on hand. This gives you an order list you can check before the month becomes busy.
Make one line for every event
Write the event date, venue, expected servings, menu, counter setup and person in charge. Count each item separately. A buffet, tea service and seated meal can use different plate and cup sizes even when the guest count is the same.
| Event detail | Question to answer |
|---|---|
| Courses | Does one guest need a starter plate and a meal plate? |
| Menu | Is a 180 ml bowl needed for a wet side? |
| Drinks | Will you use 120 ml or 250 ml cups, and how many rounds? |
| Service | Will guests take food from several counters? |
| Stock | How many usable cartons of each exact item are already in store? |
Use our plate size guide if a menu needs a new size. If you have several counters, the counter setup guide helps place the stock where staff will use it.
Add up and check the stock
For each item, add all planned servings across the month. Allow for extra servings or breakage using your own past numbers or a written planning assumption. Count unopened cartons and usable loose stock; do not count damp or damaged stock as ready to serve. Keep a small reserve for changes in attendance rather than assigning every piece to the first event.
Check whether the same carton might be needed for two events close together. If the first event runs late, staff may have no time to count what remains before the next one. Mark the stock for each event and note when the reserve can be released.
Confirm dates before ordering
Send the item list with sizes, quantities, delivery PIN code and the date the stock needs to be on site. Ask for current availability and a written delivery plan. Transit and custom work can change the timing, so do not rely on a general promise in an old post. The current shipping policy covers published terms, and the written quote should settle your order’s plan.
If a product or menu is new to your team, run a tableware trial before you set the full October count. When the list is ready, request a bulk quote with the earliest event date and all item sizes.
